The theme for the 10th anniversary of the Volunteer Management Hybrid Conference is Creating Influence in Your Organization: Thinking Beyond a “Seat at the Table”

Would you like to share your story about proactively building influence within your organization as a presenter at the Volunteer Management Hybrid Conference this year?
We are looking for confident presenters who can tell a great story without reading from a script, are comfortable in front of a video camera, can travel to Hamilton Ontario for October 21, 22, and 23, and are able to fulfill the requirements in the Speaker Agreement shown below. 2024 Volunteer Managers’ Hybrid Conference (VMHC)
October 22 & 23, 2024

Speaker Agreement

This document is an agreement between AL!VE and VMPC, organizers of the 2024 Volunteer Management Hybrid Conference, in partnership with Better Impact (herein VMHC) and _______________ (the Presenter).

Dates of Conference: October 22 & 23, 2024

Location: Better Impact Offices, 370 Main St. E, Hamilton ONT Canada, L8N 1J6

Speaker Deliverables:

  • Participate in one or two virtual 1-hour speaker planning sessions to be arranged in consultation with the Speakers and Organizers in July and/or August.
  • Provide biography, headshot and written session description no later than April 30, 2024. Session title:
  • Provide a promotional video, (preferably recorded on computer) no later than April 30, 2024. This will be placed on the conference website at www.betterimpact.com/vmhc
  • Provide images to accompany the presentation, individually or in a slide deck in Powerpoint or Keynote, your presentation text if you would like to use a teleprompter, one page worksheet and other resources as desired in Word document no later than August 15, 2024.
  • Record one 20 minute presentation at the Better Impact office on Monday, October 21 between 9 AM - 2 PM. Better Impact staff will advise on recording parameters & requirements.
  • Participate in 8 x 20-minute panel discussions, and closing comments on October 22, 2024 between 12:30pm – 6:30pm ET and October 23, 2024 between 9:30am – 3:30pm ET.

Terms:

  • A speaker’s fee of $1,200.00 USD (or its Canadian equivalent at the time of payment) will be paid by Better Impact for presenting in person for the fulfillment of speaker deliverables listed above. This includes all preparation time of materials and content, any communication with VMHC conference organizers regarding the presentation, and presentation delivery. In addition the VMHC will cover the cost of transportation for the presenter to travel to Hamilton Ontario up to $750. Automobile transportation will be reimbursed at a rate of $0.25 per mile + fuel round trip. Lunch and dinner will be provided October 21, 22, 23, 2024. VMHC organizers are not responsible for any other costs or expenses incurred by the Presenter.
  • The Presenter is an independent contractor, not an employee, servant, agent, partner or joint-venture of AL!VE, VMPC or Better Impact at any time contemplated by this MOU, and shall not represent Presenter’s opinions to be that of AL!VE, VMPC or Better Impact. AL!VE, VMPC or Better Impact shall not be liable for acts, omissions, statements or commitments of the Presenter, nor shall they be liable for any injury or loss suffered by the Presenter or those claiming through the Presenter.

Warranty and Hold Harmless:

  • The Presenter represents and warrants that none of the material contained in the presentation violates or infringes upon the proprietary or other rights of any person or entity; or constitutes an invasion of anyone’s privacy; and that the presenter shall not libel, slander or defame anyone in making the presentation.
  • In the event of a breach of the warranties made in this agreement, the Presenter shall defend, indemnify and hold the Organizers and its officers harmless from any and all claims or causes of action.

Audiotaping, Videotaping, or Photography:

  • The Presenter understands the organizers have the right to audiotape, videotape or photograph the Presenter’s presentation and to use such recordings or photographs in any and all media.
  • VMHC conference organizers will not assert any copyright or deprive the Presenter of any other rights the Presenter may have in the material presented. VMHC would however, like to share the presentation slides with conference participants. If the Presenter does not grant permission to VMHC to do so, this must be communicated to VMHC prior to the signing of this agreement.

Payment:

  • Fee Schedule
    • Travel reimbursement will be paid within 30 days of receipt of official receipts
    • $300 US will be paid within 30 days of receipt of invoice after the presentation slides, session discussion questions and any additional worksheets & resources have been provided on time.
    • $900 US will be paid within 30 days of receipt of invoice, upon completion of remaining deliverables.
  • The Presenter will submit a final invoice electronically to Better Impact no later than October 31, 2024 at jose@betterimpact.com.
  • Payment will be made within 30 days of receipt of an invoice via cheque, money order, e-transfer or credit card.

Cancellation:

  • If the conference is cancelled by VMHC for any reason, the Presenter will be due 50% ofthe total presenter fee.
  • In the event of cancellation by the Presenter due to illness or unforeseen emergency, the Organizer will have no responsibility for expenses or losses incurred by the Presenter. The presenter shall bear any incurred travel expenses and return to VMHC any payments or reimbursements already dispersed.
