General Host Site FAQs

• What is a VMHC Host Site?

  A Host Site is a local gathering organized by an organization or company where volunteer engagement professionals come together to participate in the conference as a group. Instead of attending alone, participants join peers in their area to watch the live sessions, take part in facilitated discussions or workgroups, and exchange ideas in real time. This creates a more interactive and collaborative experience while still accessing the full conference program. Host Sites are a core part of the hybrid format, combining the accessibility of a virtual event with the energy and connection of in-person engagement. By attending at a Host Site, participants benefit from:

  Access to thought leaders and experienced practitioners in volunteer management

  Interactive discussions and activities that help turn ideas into practical action

  The opportunity to build relationships with a local network of peers while being part of a broader, continent-wide conversation.

• What Are the Fees for Organizing a Host Site?

  For organizations interested in hosting a local Host Site, pricing is as follows:

  $500 for Better Impact and Galaxy Digital customers, AL!VE members and Service Enterprise organizations, and VMPC members

  $600 for all other organizations

  Host Sites set their own pricing for attendees, allowing each organization to structure participation in a way that fits their local community and goals. Hosting a site provides an opportunity to bring volunteer professionals together for a more interactive, in-person experience while accessing the full conference program.

• Do I need to have attended VMHC before becoming a Host Site?

  No. Whether you're a returning Host Site or participating for the first time, we'll provide the resources and guidance you need to host a successful event.

• Can I host the conference just for my own organization?

  Yes. Host Sites can choose to host an internal event for their staff and volunteers or invite participants from the broader volunteer engagement community.

• How many attendees should I expect?

  Attendance varies by Host Site and is entirely up to you. You can determine the size of your event based on your venue, capacity, and local audience.

• How Much Should we Charge for Tickets?

  What you charge your attendees is entirely up to you. Host site fees can vary from $30-$75+ per person depending on the experience you are providing.

  When setting your price, consider

  • Room/space rental costs
  • If you are providing meals and/or refreshments
  • Additional activities
  • Name tags or other extras

  Host sites can also offer free registration if you wish.

• Can attendees find my Host Site online?

  Yes. Approved Host Sites will be listed on this page and on TicketBud, so prospective attendees can find a location near them.

• What technology do I need to host?

  Your Host Site will need:

  • A projection screen large enough for attendees to see comfortably
  • An external amplifier and speakers (not computer speakers)
  • A wired network connection (cable preferred over Wi-Fi)
  • A steady internet connection with a minimum download speed of 2 Mbps
  • A designated facilitator to manage the event

FAQs on Registration & Ticketing with TicketBud

This year, VMHC is excited to incorporate TicketBud, an online registration and payment platform, for Host Site registration, local attendee ticket sales, and virtual attendee ticket sales.

We understand that this represents a change from past years, so we’re here to answer all your questions about this update.

• Why is VMHC using TicketBud this year?

  In the past, VMHC lacked a true record of full attendance at the conference, virtually and across our network of Host Sites. This has made it difficult to share valuable follow-up resources with attendees, measure total turnout, and use accurate data to improve future conferences.

• Do I have to use TicketBud?

  Yes. All Host Sites use TicketBud to create their Host Site registration page and register attendees for the conference.

• Do I have to pay my Host Site fee through TicketBud?

  Yes. Your Host Site registration fee is paid through TicketBud when you register.

• Do I have to process attendee payments through TicketBud?

  We strongly encourage Host Sites to use their Ticketbud registration page for attendee registration and payment processing. It provides the simplest experience for both hosts and attendees, automatically tracks registrations, supports conference reporting, and eliminates the need for additional administrative work.

  If your organization requires you to use another registration or payment platform, you may certainly do so. However, to ensure all attendees are included in conference communications and reporting, you'll need to complete one of the following:

  • Upload your attendee list to Ticketbud using a CSV or Excel (.xls/.xlsx) file before the conference, or
  • Create a complimentary registration code in TicketBud and provide it to your attendees so they can register through your Ticketbud Host Site page at no charge.

  Using your Ticketbud registration page from the outset is the easiest option and helps ensure your attendees receive conference communications, resources, and updates without any additional work on your part.

• What if I'm unable to pay by credit card?

  If paying by credit card isn't an option for your organization, please contact us at vmhc@betterimpact.com. We'll be happy to work with you to arrange an alternative payment method.

• Are there TicketBud fees?

  There is no upfront cost for you to use TicketBud. Ticket processing fees may apply depending on the price you are charging for local tickets and how you choose to manage registrations.

• How is attendee information used by TicketBud?

  TicketBud is PCI-compliant, meaning payment data is handled to a rigorous security standard. TicketBud does not sell attendee data and does not market other events to your attendees using their information.
