Insert Images and Files into Text Editor Fields

The Focus of the Release

  • Insert Images and Files into Text Editor Fields
    • File Manager: You can save images and other files to the File Manager and insert them into Text Editor fields (e.g. Custom Field descriptions, Qualification descriptions, General Interest descriptions, Activity descriptions, Email body, Volunteer News, etc.).
    • Limited Admin Role Settings: You can include / exclude any of these File Manager settings when creating a new “Limited Admin Role”:
      • Upload, Edit, or Delete files in the rich text file manager
      • Insert images or links to files in the body of an email
      • Insert images or links to files into rich text areas other than email

For the information of your IT department, files and images uploaded to the File Manager will be served from the following domain: content.betterimpact.com.

Improved Search in the Help Files

The system we were using to search the help files worked well in our tests with a few articles but as we added more to complete the Version 4.0 release, it began to perform poorly. We have replaced it in the Volunteer Impact Account section and will be replacing it in the others over the next few days. It’s now using Google as the search engine and the results are much better. 🙂

Facebook Widget

  • Your organization’s Facebook feed can now be part of your Social Media feed and made visible to your volunteers and on your public page.

Email and View the Profile of Those with Upcoming Birthdays or Anniversaries

  • Options have been added when viewing upcoming birthdays or anniversaries to enable you to:
    • Send Email: send an email to a volunteer or select multiple volunteers to email them in bulk
    • List Recent Emails: shows the last 10 emails sent to a volunteer, to avoid accidentally sending duplicate email
    • View: view the volunteer`s profile

View Volunteer’s Age and Years of Service in Their Profile and in Exports

  • View Volunteer’s Age: When you view or edit a volunteer’s profile, you will be able to see the volunteer’s age to the right of the “Birthdate” field in the “Contact” section of the “Main” tab of a volunteer’s profile.
  • View Volunteer’s Years of Service: When you view or edit a volunteer’s profile, you will be able to see the volunteer’s years of service to the right of the “Date Joined” field in the “Miscellaneous” section of the “Main” tab of a volunteer’s profile.
  • Personal Profile Export: Age and Year of service (YearsSinceDateJoined) can now be included in the Personal Profile Export.

Edit and Email Volunteers When Viewing Expiring / Expired Qualifications or Approving Custom Field / Qualification Entries

  • Additional options have been added when you are viewing expiring / expired Qualifications or approving Custom Field / Qualification entries:
    • Edit Profile: edit the volunteer’s profile (in addition to being able to view it)
    • Send Email: send an email to a volunteer or select multiple volunteers to email them in bulk

More Options When Making Bulk Changes to Activities

  • New options have been added when you are making bulk changes to Activities:
    • Update Pre-Assigned Description
    • Update Post-Assigned Description
    • Update Category (including moving Activities to “Uncategorized”)

New Filter Available When Assigning a Volunteer from Their Profile

The list of filters has been reorganized and a new one has been added to enable you to filter by activities that have openings available:

  • Only include activities that the volunteer is qualified for: whether or not the volunteer has the specific prerequisites (Qualifications) needed for an Activity.
  • Only include activities that have openings available: include only Activities with shifts that are not all full. The number of unlocked shifts coming up will also be displayed beside the Activity.
  • Generally Available: whether or not the Activity’s Schedule Classifications match the volunteer’s General Availability
  • Signed Up: whether or not the volunteer is already signed up as available for a shift of the Activity.
  • Scheduled: whether or not the volunteer has already been assigned to a shift of the Activity.
  • On the backup list: whether or not the volunteer is on the backup list for the Activity.

In addition to these options, the volunteer will also be able to filter by organization, sort the activities by name or start date, show the activities within their categories or display them as a list, show only the category headings to start (and then click on a category name to open it and show the available activities within that category).

When Can an Administrator’s Profile Be Edited?

Enhanced Searching by Short/Long Text Feedback Fields

  • When performing a search by Feedback Fields, you can now use the option “Is not empty” or “Is empty” with Short Text and Long Text Feedback Fields.

New Search Type: By Login Date

You can now search to see if a volunteer “has logged in” or “has not logged in” within a specified date range.

Timeclock Display of Upcoming Assignments

  • Scheduled assignments for “today” will be highlighted differently from other Activities in the list. Buttons now stand out more, taking on a 3D look.
  • Here’s how the list of Activities will appear in the timeclock:
    • If the Activity type is “Scheduled” and the assignment is today, it will appear first
    • If the Activity type is “Unscheduled” or “Seasonal”, it will come after that
    • If the volunteer is assigned to the Activity (for any shift), it will come after that
    • Remaining activities will be sorted by Activity Category, then Activity name within each category

Branding Graphs

  • New options enable you to define color settings for the Reports Graph:
    • Data: data displayed in graph
    • Month Labels: text for month axis labels

Email Monthly Schedule to a Volunteer at the Enterprise Level

  • You can email a volunteer their monthly schedule from the enterprise level for organizations that belong to the enterprise. You can also click the [View Report] button to see the schedule on screen or the [Export Report] button to save the schedule to a file.

View an Hours Summary of Lifetime Hours and Hours for the Current Year for an Individual Volunteer

  • When viewing a volunteer’s profile, there is now an “Hours Summary” section, showing the volunteer’s “Lifetime Hours” and hours for the current year.

Easier to Identify Featured Classifications

If you have created a “Featured Classification” (enterprise level), it is easily identified in your organization’s Activities and General Interests with a “heart” icon next to it.
