Reports - Schedules

NOTE:

Schedule reports display volunteers assigned to scheduled Activities only. The Schedule exports enable you to report on volunteers assigned to all types of Activities.

By editing a volunteer’s profile and going to their “Schedule” tab, you can generate a calendar report of their scheduled activity assignments for one month at a time.

Schedule Reports Available

  • All Categories by Category: Schedule of volunteers assigned to all Activities in all Activity Categories between specified dates, grouped by category.
  • All Categories by Date: Schedule of volunteers assigned to all Activities in all Activity Categories between specified dates, grouped by date.
  • Single Activity by Date: Schedule of volunteers assigned to a specific Activity between specified dates, grouped by date.
  • Single Activity by Month: Schedule of volunteers assigned to a specific Activity over a one-month period, displayed in calendar format.
  • All Activities by Volunteer: Schedule of volunteers assigned to all Activities in all Activity Categories between specified dates, grouped by volunteer.
  • Single Category by Activity: Schedule of volunteers assigned to all Activities in a specific Activity Category between specified dates, grouped by Activity.
  • Single Category by Date: Schedule of volunteers assigned to all Activities in a specific Activity Category between specified dates, grouped by date.
  • Single Category by Month: Schedule of volunteers assigned to all Activities in a specific Activity Category between specified dates, grouped by date and displayed in calendar format.
  • Schedule Summary Export: Schedule summary information exported to Excel for additional filtering or manipulation.
  • Schedule Detail Export: Activity assignment schedule details exported to Excel for additional filtering or manipulation.
  • Signup Detail Export: Activity signup details exported to Excel for additional filtering or manipulation.

NOTE:

The “Schedule Detail Export” and “Signup Detail Export” are also available for an individual volunteer from within the “Schedule” tab of their profile.

Run a Report

  1. Go to: Reports >> Schedule Reports
  2. Select the desired report to run
  3. Enter or select the options for the report
    • Some of the reports will enable you to select the desired Communications Fields to include in your report:
      • All Phone Numbers: include all volunteer telephone numbers
      • Preferred Phone Number and Email: include only the volunteer’s preferred phone number and main email address
      • No Contact Information: do not include any contact information for the volunteer
  4. Click either the [View Report] button to see it on screen or the [Export Report] button to export a PDF version.

Export Raw Data (Schedule Details)

  1. Go to: Reports >> Exports / Excel Reports >> Schedule Detail Export
  2. Optional: Choose Activity Type (Schedule, Seasonal or Unscheduled)
  3. Optional: Enter a date range
  4. Optional: Filter the export by Activity Category
  5. Choose your sorting preference
  6. By default, we have selected the most columns used in an export. Click the [Show Columns] button to see what columns are included and to make any changes you’d like.
  7. Click the [Export Schedule] button

TIP: Saving Your Column Selections

Once you have chosen the appropriate values from the “Columns to Include” section, check the box “Make these my default columns”. When you run this report again at a later date, the selections you have made will be remembered, making it easier to run your specific report.

Export Schedule Summary

  1. Reports >> Exports / Excel Reports >> Schedule Summary Export
  2. Optional: Choose Activity Type (Schedule, Seasonal or Unscheduled)
  3. Optional: Enter a date range
  4. Optional: Filter the export by Activity Category
  5. Choose your sorting preference
  6. By default we have selected the most columns used in an export. Click the [Show Columns] button to see what columns are included and to make any changes you’d like.
  7. Click the [Export Schedule Summary] button
