Adding a New Activity - Step 2

Choose the Type of Schedule That Best Fits This Activity

IMPORTANT NOTE:

Shifts cannot be added to an unscheduled or seasonal Activity. All shifts cannot be removed from a scheduled Activity. If you have saved the Activity but need to change the schedule type, you can select “Update Activity Type” from the Options list for the selected activity.

Recurring Pattern

  • The Activity occurs on a regular schedule with a recurring pattern of scheduled dates and times. Schedule reports will show exactly when (date/time) a volunteer is assigned. Although you need to define an end date for an Activity on a recurring pattern, you can always add additional shifts to the Activity, either manually or by using an Activity Shift Template(Note: You can edit the Activity to add more shifts and remove shifts, if needed. A scheduled Activity must always have at least one shift.)

Disjointed

  • The Activity occurs on an irregular schedule with specific dates and times. Schedule reports will show exactly when (date/time) a volunteer is assigned. (Note: You can edit the Activity to add more shifts and remove shifts, if needed. A scheduled Activity must always have at least one shift.)

One Time

  • The Activity occurs once only on a specific date at a specific time. Schedule reports will show exactly when (date/time) a volunteer is assigned. (Note: You can edit the Activity to add more shifts and remove shifts, if needed. A scheduled Activity must always have at least one shift.)

Seasonal

  • The Activity only occurs between two dates, but there are no specific times (shifts) specified. Since no dates/times are involved, schedule (export) reports will only show that a volunteer is assigned to an Activity. (Note: Shifts cannot be added to a seasonal Activity.)

No Schedule

  • Volunteers can tell you what they would like to do, but no specific dates and times (shifts) are specified. Since no dates/times are involved, schedule (export) reports will only show that a volunteer is assigned to an Activity. (Note: Shifts cannot be added to an unscheduled Activity.)

This type of Activity occurs on a regular schedule with a recurring pattern of scheduled dates and times.

Worth noting:

  • Schedule reports will show exactly when (date/time) a volunteer is assigned.
  • You can edit the activity to add more shifts and remove shifts, if needed.
  • As this is a scheduled activity, it must always have at least one shift.
  • You can create a pattern of individual shifts and then save it as an Activity Shift Template for future use.

Creating a Set of Shifts the Recurs Daily or Weekly

  1. Select the day of the week and enter the start time and end time. If you need to remove a shift, click the [Delete] button.
  2. Click the [+ Add Shift] button to create more shifts
  3. Enter how often the pattern occurs (In almost all cases, this should be every 1 week.)
  4. Enter the date range of shifts to create or enter how many shifts to create based on the pattern
  5. If desired, click the [Check Shifts] button to see how many shifts will be created

Creating a Set of Shifts the Recurs Monthly

  1. Enter either the exact day of the month or select the relative date (e.g. “first” “Sunday”)
  2. Select how often the pattern occurs (every 1,2,3… months)
  3. Enter the date range of shifts to create or enter how many shifts to create based on the pattern
  4. If desired, click the [Check Shifts] button to see how many shifts will be created

Saving a Set of Shifts as a Template

When you create a new set of shifts that recur daily or weekly, its a good idea to save them as an Activity Shift Template so that you can use it again later. This could be for another Activity the has the same schedule and to add more shifts to an existing Activity later on.

  1. Click the [Save this as a template] button to save the pattern as an Activity Shift Template.
  2. Finish this step by click the green [Next] button. The [Save] button is greyed out because the minimum amount of information has not yet been added.

Using an Existing Template

If you have already created an Activity Shift Template (i.e. a list of shifts), you can use it when creating a scheduled Activity with a Recurring Pattern.

In the Schedule tab::

  1. Click the [Add Multiple Shifts] button
  2. Select the desired shift template from the droplist
  3. In “Pattern Range”, enter the start date and end date to create the shifts based on the pattern in your template
  4. Click the [Save] button

This type of Activity occurs on an irregular schedule with specific dates and times.

  • Schedule reports will show exactly when (date/time) a volunteer is assigned.
  • You can edit the activity to add more shifts and remove shifts, if needed.
  • As this is a scheduled activity, it must always have at least one shift.

Adding Shifts

For each shift you want to create, fill in the date, start time and end time. To add another line to create more shifts, click the [+ Add Shift Button].

Finish this step by click the green [Next] button. The [Save] button is greyed out because the minimum amount of information has not yet been added.

This type of Activity occurs once only on a specific date at a specific time.

  • Schedule reports will show exactly when (date/time) a volunteer is assigned.
  • Even though you set it up to only have one shift, you can edit the activity later to add more shifts and remove shifts, if needed.
  • As this is a scheduled activity, it must always have at least one shift.

Enter the date the shift will occur, the start time and end time, and then click the green [Next]. The [Save] button is greyed out because the minimum amount of information has not yet been added.

This type of Activity only occurs between the two specific dates but there are no specific times (shifts) specified.

  • Since no dates/times are involved, schedule (export) reports will only show that a volunteer is assigned to an Activity.
  • Shifts cannot be added to an unscheduled Activity.

Enter the beginning data and the ending date and then click the green [Next] button. The [Save] button is greyed out because the minimum amount of information has not yet been added.

This type of Activity only occurs is typically one where the volunteers do whatever is involved n their own time and schedule (e.g. a researcher or a blogger).

  • Since no dates/times are involved, schedule (export) reports will only show that a volunteer is assigned to an Activity.
  • Shifts cannot be added to an unscheduled Activity.

Because there is no schedule data information to enter, there is nothing to enter on this screen so you can just click the green [Next] button. The [Save] button is greyed out because the minimum amount of information has not yet been added.
