Volunteer Profiles

Reports Available

  • Personal Profile Export:
    • Personal profile information exported to Excel for additional filtering or manipulation.
    • There will be one row per volunteer.
    • The “Volunteer DateJoined” value will reflect the earliest date value for which they joined an organization in your enterprise.
    • The “Volunteer Status” is not included in the export.
  • Profile Association Export:
    • List of volunteers in all organizations in the enterprise, filtered by status and/or security role.
    • There will be one row for each organization to which the volunteer belongs.
    • The “Volunteer DateJoined” value will reflect the date they joined that particular organization.
    • The “Volunteer Status” is included for each organization to which the volunteer belongs.

Run a Report - Personal Profile Export

  1. Go to: Reports >> Exports / Excel Reports >> Personal Profile Export
  2. In the “Organization Filters” section, select the desired organizations to include in the search. If you have created Regions, your organizations will be displayed within their respective region. You can select individual organizations, some/all organizations in a region or all organizations in your enterprise.
  3. Search for the desired profiles (See: Search)
    • TIP: You can also save your search if you use specific criteria on a regular basis.
  4. Basic Export Columns:
    • Name Fields
    • Address and Phone Fields: street address, telephone numbers, whether or not the person has enabled text messaging (only available in the Personal Profile Export)
    • Email and Social Fields: email addresses, Twitter/LinkedIn information
    • Misc Fields: unique ID, username, birthday, age, date profile created/updated, volunteer date joined, years since date joined, Region, role, group information (if applicable), notes
  5. Custom Fields: Select the enterprise level Custom field values to be included in the export
  6. Qualifications: Select the enterprise level Qualification values to be included in the export
  7. General Availability: Select the General Availability information to be included in the export
  8. Hours Logged: You can include all logged hours or filter for a specific date range and select what organizations and Activity Report Groups to include
  9. Other Settings:
    • Include background checks (Enterprise edition only)
    • Include last login date
    • File format (XLSX, XLS, CSV, TXT)
  10. Click the [Export Profiles] button

TIP: Saving Your Column Selections

Once you have chosen the appropriate values from the “Columns to Include” section, check the box “Make these my default columns”. When you run this report again at a later date, the selections you have made will be remembered, making it easier to run your specific report.

Run a Report - Profile Association Export

  1. Go to: Reports >> Exports / Excel Reports >> Profile Association Export
  2. Optional: Click the [Export a specific group] button to search for specific people to include. You can also save your search if you use specific criteria on a regular basis.
  3. In the “Organization” list of the “Report Settings” section, select the desired organizations to include in the search. If you have created Regions, your organizations will be displayed within their respective region. You can select individual organizations, some/all organizations in a region or all organizations in your enterprise.
  4. Select the desired status(es) to include in your export
  5. Select the desired sort order and file format for your export
  6. Click the [Select columns] button to select which columns to include in your export
  7. Click the [Export Organization Members] button
