Adding Confidential Notes to Volunteer Profiles

Add Notes to One Profile

The Note Log is confidential and is not visible to volunteers. Administrators with access to the Note Log will see a history of the notes entered into the profile.

  1. In the Quick Search field, type the name of the person whose profile you wish to add notes to
  2. From the “Communications” tab, click the “Note Log” tab
  3. In the “Add a Note to the Log” section, enter the desired text in the “Message” field.
  4. Optional: Select the modules associated with the note (this will determine the administrators that will be able to see the note)
  5. Confirm the addition of the note to the profile by checking the confirmation box
  6. Click the [Save] button

Add Notes to Multiple Profiles

  1. Go to: Communicate >> Log Notes
  2. Select the desired filters and enter any search criteria to retrieve the profiles you wish to add notes to
  3. Optional: Open the “Search Results” section if you wish to de-select any names that have been retrieved by your search
  4. In the “Log Notes” section, enter the desired text in the “Message” field.
  5. Optional: Select the modules associated with the note (this will determine the administrators that will be able to see the note)
  6. Confirm the addition of the note to the selected profiles by checking the confirmation box
  7. Click the [Save] button

View a Person's Note Log

  1. In the Quick Search field, type the name of the person whose profile you wish to add notes to (or search for and edit the desired profile)
  2. From the “Communications” tab, click the “Note Log” tab
  3. In the “Note Log History” section, select “View” from the [Options] button to the left of the desired note. You’ll also see the initials of the administrator that added the note. Hovering over the initials will show you the administrator’s name.

Print a Person's Note Log

  1. In the Quick Search field, type the name of the person whose profile you wish to add notes to (or search for and edit the desired profile)
  2. From the “Communications” tab, click the “Note Log” tab
  3. In the “Note Log History” section header, click the [Print] button to print the current page of notes

You can also run a “Note Log Entries Export“.
